Why do we need to collect and use your personal data?
To provide our services we need to collect information about your personal and financial circumstances. Without collecting your personal data, we would be unable to fulfil our legal and regulatory obligations. We take your privacy seriously and will only use your personal information to deliver our services.
This may include special category data such as data about your health if this is necessary for the provision of our services as noted below*.
*Special category data: there are certain categories of personal data that are sensitive by nature. The categories include data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership and data concerning health and any other personal data considered ‘special category data’, as defined by UK GDPR. Depending on the nature of the products and services that you engage us for we may need to obtain your sensitive personal data particularly in relation to health. Our policy is that should we require any special category of personal data we will gather and process this with your explicit consent in our CRM system.
Processing of your personal data is necessary for the performance of our contract for services with you and in meeting our obligations to prevent money laundering or terrorist financing. Our policy is to gather and process only that personal data which is necessary for us to conduct our services appropriately with you and to prevent money laundering or terrorist financing.
We adopt a transparent approach to the processing of your personal data. Sometimes, we may need to pass your personal information to other organisations. If you apply to take out a financial product or service, we will need to pass certain personal details to the product or service provider.
We may engage the services of third-party providers of professional services to enhance the service we provide to you. These parties may also need to process your personal data in the performance of their contract with us. Your personal information may be transferred electronically (e.g., by email or over the internet) and we, or any relevant third party, may contact you in future by what we believe to be the most appropriate means of communication at the time (e.g. telephone/email/letter etc).
The organisations to whom we may pass your details also have their own obligations to deal with your personal information appropriately. We will ensure that any third parties that we do share your information with have sufficient data protection processes in place to ensure that your information is adequately protected.
As part of this agreement, we will ask you to consent to the transfer of personal information in accordance with the protections outlined above.
How long do we hold your information?
During our relationship with you, we will retain personal data which is necessary to provide services to you. We will take all reasonable steps to keep your personal data up to date throughout our relationship.
We keep your personal information securely for as long as we need to for the purpose of providing you with financial advice under the Terms of Business and Client Agreement (contract) or for as long as we are required to by relevant regulations.
You have the right to request the deletion of your personal data.
Any personal information that we do obtain from you will be handled in accordance with data protection law. Your personal data will be retained for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. We will only keep your personal information after this period if there is a legitimate reason to do so. You have the right to request deletion of your personal data, and we will comply with this request, subject to the restrictions of our regulatory obligations and legitimate interests.
How can I access the information you hold about me?
You have the right to object to how we process your personal information. You also have the right to access, correct, sometimes delete, and restrict the personal information we use. Furthermore, you can ask us to provide you or a third party with some of the personal information that we hold about you in a commonly used electronic form. We will comply with requests like these subject to the restrictions of our regulatory obligations and legitimate interests as noted above.
We have an obligation to ensure your personal information is accurate and up to date. Please ask us to correct or remove any information you think is incorrect.

Information about connected individuals
We may need to gather personal information about your close family members and dependants to provide our service to you effectively. In such cases it will be your responsibility to ensure you have the consent of the people concerned to pass their information to us. We will attempt to provide a copy of this privacy notice for them or, where appropriate, ask you to pass the privacy information to them.
